We are committed to protecting the privacy of all users, including notaries who list their services ("Notary Members") and individuals searching for notary services ("Searchers"). This Privacy Policy explains what information we collect, how we use it, how we protect it, and your rights regarding your personal information.

    The Site is intended for use by residents of the United States. By accessing or using the Site, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Site.

    • Create an account as a Notary Member or Searcher
    • Complete a contact form to reach a notary
    • Fill out your notary profile

    • Profile photo (for notaries)
    • Professional credentials and certifications, including commission number, commission state, and commission expiration date (for notaries)

    4. How We Share Your Information

    4.1 Notary Profile Information

    Information included in a Notary Member's public profile — such as name, phone number, email address, service area, specializations, languages, tagline, bio, and photo — is visible to all Site visitors. Commission details you provide may also be displayed. Notary Members are responsible for the accuracy of their profile information and should only include information they wish to make publicly available. You can update or manage your profile information by logging in to your account.

    4.2 Contact Form Submissions

    When a Searcher submits a contact form, the submitted information (name, email address, phone number, and message) is shared directly with the Notary Member the Searcher is attempting to contact. By submitting a contact form, you consent to your information being shared with the relevant notary. This disclosure is made at the point of collection on the contact form.

    4.3 Service Providers

    We may share your information with trusted third-party service providers who assist us in operating the Site and delivering our services. These providers are contractually obligated to protect your information and may only use it to perform services on our behalf. Service providers may include:

    • Email delivery and notification services
    • Hosting and infrastructure providers
    • Payment processing services (including Stripe)
    • Analytics platforms
    • Customer support tools

    4.4 Legal Requirements

    We may disclose your information if required to do so by law or in good faith belief that such disclosure is necessary to:

    • Comply with a legal obligation, court order, or government request

    4.5 Business Transfers

    In the event of a merger, acquisition, reorganization, or sale of all or a portion of our assets, your personal information may be transferred as part of that transaction.     5. Data Retention

    We retain your personal information for as long as your account is active or as needed to provide you with our services. If you request deletion of your account, we will delete or anonymize your personal information within 30 days, except where we are required to retain it for legal, regulatory, or legitimate business purposes such as resolving disputes or enforcing our agreements.

    Contact form submission records are retained for up to 3 years from the date of submission, after which they are permanently deleted from our systems. Notary Members retain their own copy of received messages in their account dashboard and may delete individual messages at any time. All message records are permanently deleted upon account deletion.

    Subscription and billing records are retained for 7 years from the date of the transaction as required for tax, accounting, and legal compliance purposes, even if your account is deleted.

    6. Data Security

    We implement reasonable and appropriate technical and organizational measures to protect your personal information against unauthorized access, loss, destruction, or alteration. These measures include encrypted data transmission (HTTPS/SSL), access controls, and secure infrastructure hosting.

    However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee its absolute security. You are responsible for maintaining the confidentiality of your account credentials.

    In the event of a data breach that affects your personal information, we will notify affected users as required by applicable state and federal law.

    7. Your Rights and Choices

    7.1 Account Information

    You may update or correct your account information at any time by logging into your account and editing your profile. Notary Members may update their public profile information directly through the Site.

    7.2 Account Deletion

    You may request deletion of your account and associated personal information by contacting us at support@notarypublicassociation.org. We will process your request within 30 days, subject to any legal retention requirements.

    7.3 Opting Out of Communications

    You may opt out of non-essential email communications by clicking the unsubscribe link in any marketing email or by contacting us directly. Note that you cannot opt out of transactional or service-related communications (such as contact form notifications or subscription confirmations) while your account remains active, as these are necessary for the operation of the service.

    7.4 California Residents — CCPA/CPRA Rights

    If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA):

    • Right to Know: You may request information about the categories and specific pieces of personal information we have collected about you, the sources from which we collected it, the purposes for which we use it, and the categories of third parties with whom we share it.
    • Right to Delete: You may request deletion of personal information we have collected about you, subject to certain exceptions permitted by law.

    • Right to Correct: You may request that we correct inaccurate personal data we maintain about you.
    • Right to Delete: You may request deletion of personal data we have collected about you, subject to certain exceptions.
    • Right to Data Portability: You may request a copy of your personal data in a portable and, to the extent technically feasible, readily usable format.
    • Right to Opt-Out: You may opt out of the processing of your personal data for purposes of targeted advertising, the sale of personal data, or profiling in furtherance of decisions that produce legal or similarly significant effects. We do not currently engage in these activities. However, you retain the right to submit an opt-out request at any time.

We may extend this period by an additional 45 days where necessary, with prior notice. We will not discriminate against you for exercising any privacy rights available to you under applicable law. We may need to verify your identity before processing your request.

    7.6 Users in the European Economic Area (EEA) — GDPR Rights

    If you are located in the EEA, you have the following rights under the General Data Protection Regulation (GDPR):

    • Right of Access: You may request a copy of the personal information we hold about you.
    • Right to Rectification: You may request that we correct inaccurate or incomplete information.
    • Right to Erasure: You may request that we delete your personal information under certain circumstances.
    • Right to Restrict Processing: You may request that we limit how we use your information.
